Terms & Conditions

Payments, Deposits & Additional Fees

All sessions require a £20 booking deposit. Except event & wedding photography which requires a £100 booking deposit to secure the appointment date. Your session date will NOT be confirmed in the diary until this has been paid. Photographers will not attend if the customer has not paid a booking deposit, (unless this has been previously agreed).


The final balance will need to be paid in full on the day of the shoot (unless agreed otherwise, prior to the date). These rules are a minimum requirement but we are happy to accept payment in advance if that best suits you. If you are unable to pay the shoot amount on the day of your session, then please speak with us prior, in order to set a date for payment that suits your circumstances best. No Images will be edited or sent until payment has been made.

 

Please note: Wedding and event photography need to be paid before the day. 

   You will need to have paid your selected wedding package in full, at least 10 weeks prior to the date selected. 

   Events will need to be paid in full, at least 5 days before the date selected. Failure to do so, may end in your booking being terminated. 

   Any weddings or events being booked after the deadline date will need to make payments in full on the day of booking (unless agreed otherwise). If any payment deadlines are missed (without prior warning/ agreement) there will be a late payment fee of £20 per day added to the current outstanding balance. This will then increase to £50 per day if the payment still hasn't been made after 14 days of the original agreed date.


Digital images, prints or any other products ordered from the shoot will NOT be sent until we have received payment in full.


Travel fees may apply. Any location within a 20 mile radius is free. Anything over this distance will be calculated at £20 per additional 10 miles.

Should we need to cancel for any reason, we will contact you prior to the shoot time to inform you.


Bank Transfer is the preferred method of payment. However, we also accept cash and PayPal (Please Note: PayPal payments may incur an additional fee to cover the business costs).


An invoice and receipt for your session can be issued on request.


Advertised prices and packages are subject to change without prior notification, however, we will always honour the price (given by us) at time of booking.



Photography Timings

We will discuss arrival and finish times prior to your shoot. Please Note: The time you select, is our arrival time. In some cases, such as; at home photoshoots, We may need to set up equipment (lights, backdrops etc.) so this will be done after the agreed arrival time and we will start shooting once everything is ready. You will still receive the correct amount of time for your selected session but please allow at least an additional hour for any delays/set up and packing away, when booking.


If there is any specific difficulties (that you are aware of) with travelling to or finding the location, you must inform us prior to the shoot.


If we are not ready to start at the agreed time due to our fault, we will still photograph for the agreed time by extending the finishing time (venue permitting).


If the photography start time has been delayed due to unforeseen circumstances that are not our fault, then the photographers will still end at the agreed time on the booking. 


If we arrive on time but the shoot does not start at the agreed time due to customer fault, the photographers will still end as per the agreed time on the booking.



Editing, Marketing & Copyright

The copyright of all images will remain with Moon Flower Photography and by accepting these terms and conditions you are granting us the right to use any and all images taken on the day for marketing and promotional activities, involving both digital, web and printed material. Although this is the case, we have a great respect for the privacy and protection of our customers. Please contact us should you wish for your images to remain private.


The editing process can take up to 8 weeks, therefore, Complaints regarding images not received within this time frame will not be accepted.



Damage to Equipment

Any damage to the Photographers equipment caused by the booking party will be compensated in full by the booking party.


The booking party will be responsible for any loss resulting from theft or damage to the Photographers equipment during a booking.


Customer Behaviour

We will NOT accept any threatening or abusive behaviour and should this occur then we will stop the service immediately and leave the shoot without a refund.



Technical Issues / Failure To Supply

In the unlikely event of a technical problem with all of the Photographers equipment or events beyond our control a refund will be given pro-rata to any time lost, unless we feel that we can still provide the service specified.


The photographers cannot be held responsible for any failure to provide a service of supplies or equipment if the operator has no control over the circumstances which may withhold all or part of the supply. These may include but are not limited to traffic delays, severe weather conditions, breakdown of our vehicles, sickness, equipment failure or any other reason outside of our control.


If we cannot attend or fulfil your photography due to events beyond our control we will contact you or the venue as soon as possible. In these instances our liability will be limited to a refund of all the monies paid.


Failure to supply due to the venue or client issues will not result in a refund.


Booking Cancellations

We understand that your circumstances can change but we would ask for as much notice as possible in the event that you need to cancel your booking.


Booking deposits are non-refundable in all cases.


Any cancellations of a wedding will be entitled to the following refunds:


  • Prior the 10 week deadline to the wedding date: 100% of what has been paid (NOT Including the £100 non refundable deposit)
  • Between 5 - 10 weeks of your wedding date: 50% of what has been paid (NOT including the £100 non refundable deposit)
  • Less than 5 weeks of your wedding date: No refund has to be given.


 

Cancellations of any other shoot type will be subject to the following cancellation charges:

  • Within 48 hours prior to the shoot – 50% of the final balance
  • Within 24 hours prior to the shoot – 100% of the final balance



Acceptance Of Terms and Conditions

The booking party agrees that upon filling in any enquiry or booking form on the website, and the payment of at least a deposit, the booking party accepts these terms and conditions.
